DAY CAMP SERVICE AGREEMENT
This Service Agreement ("Agreement") sets forth the general terms and conditions for participation in the summer day camp provided by VICI Learning Inc., located at 773 Sixth Street, Unit 103, New Westminster, BC, V3L 3C6 ("Service Provider"). By completing the registration form, the parent or guardian ("Client") agrees to these terms and conditions on behalf of their child ("Child").
1. Scope of Services
1.1 Description of Services: The Service Provider agrees to provide day camp services, including but not limited to recreational activities, educational programs, arts and crafts, sports, and day trips. Detailed information about the day camp activities and field trips will be provided in the Camp Parent’s Guide.
1.2 Camp Schedule: The camp will operate weekly during the weeks specified in the registration form: Monday to Friday, from 9:00am to 4:00pm.
1.3 Location: The primary location for the camp will be held at Vici Learning Centre 773 6th St #103, New Westminster, BC V3L 3C6. Day trips will occur at various locations outside the camp facilities as specified in the Camp Parent’s Guide.
1.4 Right to Modify Activities: The Service Provider reserves the right to make changes to the camp activities and schedule as necessary. This includes, but is not limited to, modifications due to weather conditions, availability of resources, or unforeseen circumstances.
2. Fees and Payment
2.1 Camp Fees: Full payment is due 14 days prior to camp week start-date.
2.2 Registration Confirmation: Registration is fully confirmed only when payment is received in full by the Service Provider.
2.3 Autism Funding: RTP approval must be received at least 14 days prior to the start date. If not received, Clients may choose to pay privately to secure placement.
2.4: Failure to Pay: Failure to complete payment by the required deadline may result in cancellation of registration without guarantee of placement.
3. Cancelation & Refund Policy
3.1 Cancelation by the Client: The Client may cancel with at least 14 days’ written notice for a full refund minus processing fees. Cancellations within 14 days but more than 48 hours before the start date will receive a refund minus a 50% deposit fee. No refunds will be provided within 48 hours of the start date.
3.2 Cancelation by Service Provider: The Service Provider may cancel with 7 days’ notice, issuing a full refund. The Service Provider may also terminate participation at its sole discretion for unsafe, disruptive, or inappropriate behaviour. In such cases, refunds, if any, will be issued at the sole discretion of the Service Provider.
3.3 Autism Funding Refund Policy: Autism Funding Refund Policy: Private payments made due to delayed AFU approval will be refunded upon receipt of funding.
4. Consent for Day Trips
4.1 Day Trip Activities: The Service Provider plans to organize day trips to various locations, such as parks, local stores, and other recreational sites. These trips are designed to enrich the camp experience.
4.2 Consent Requirement: By registering in the Learn & Play Day Camp and agreeing to this Agreement, the Client consents for the Child to participate in day trips organized by the Service Provider. The Service Provider will provide the Client with detailed information about each trip, including the destination, activities, and any special requirements, as provided in the Camper Guide at least 14 days in advance.
4.3 Transportation: Transportation for day trips will be provided by walking or public transit, adhering to all safety regulations and guidelines. The Client acknowledges and accepts the inherent risks associated with off-site activities and transportation.
5. Child Information and Health Conditions
5.1 Accurate Information: The Client agrees to provide accurate and complete information about the Child in the registration form, including but not limited to:

Emergency Contact Information
Allergies
Medical Conditions & Medication
Special Needs Requirements
Dietary Restrictions
5.2 Medical Consent: The Client consents to the Service Provider seeking medical attention for the Child in the event of an emergency. The Service Provider will make reasonable efforts to contact the Client or the designated emergency contact.
5.3 Medication Administration: If the Child requires medication during camp hours, the Client must provide written instructions and consent for the Service Provider to administer the medication. All medications must be labeled and stored securely.
5.4 Illness Policy: The Service Provider reserves the right to refuse attendance or require early pick-up of any child exhibiting symptoms of illness. No refunds will be provided for missed days due to illness.
6. Camp Enrollment Assessment & Support
6.1 Enrollment Assessment: The Service Provider reserves the right to assess whether the Program is an appropriate fit for each Child based on the information provided and ongoing observations.
6.2 Additional Support Needs: If a Child requires additional one-on-one or specialized support beyond what is outlined in the Service Provider’s Additional Support Service Scope, the Service Provider reserves the right to request that such support be arranged by the Client at their own expense or to discontinue participation subject to clause 3.2.
7. Behaviour Expectations
7.1 The Child is expected to demonstrate respectful, safe, and cooperative behaviour.
7.2 The Service Provider reserves the right, at its sole discretion, to remove a Child from the Program for behaviour that is disruptive, unsafe, or inappropriate per clause 3.2.
8. Personal Belongings
8.1 Lost & Stolen Items: The Service Provider is not responsible for lost, stolen, or damaged personal belongings. Clients are encouraged to label all items.
9. Photo & Media Consent
9.1 Photos & Videos during Camp: Unless otherwise provided in writing, the Client consents to the use of photographs and videos taken during the Program for promotional and marketing purposes.
10. Liability and Insurance
10.1 Liability Waiver: The Client agrees to release and hold harmless the Service Provider, its employees, and agents from any and all claims, liabilities, or damages arising from the Child’s participation in camp activities, except in cases of gross negligence or willful misconduct.
10.2 Insurance: The Service Provider maintains liability insurance to cover any potential incidents. The Client is encouraged to have personal health and accident insurance for the Child.
10.3 Limitation of Liability: To the fullest extent permitted by law, the Service Provider’s total liability to the Client for any and all claims, losses, costs, or damages, including attorney's fees, resulting from, arising out of, or in any way related to the Child’s participation in the camp or this Agreement, from any cause or causes, shall not exceed the total amount of fees paid by the Client to the Service Provider under this Agreement.
11. Early Drop-Off & Late Pick-up Policy:
11.1 Early Drop-off & Late Pick-Up Registration: To accommodate working parents & guardians, Service Provider offers optional Early Drop-Off and Late Pick-Up for an additional fee ($5/day each) to accommodate working parents & guardians. The Early Drop-Off and Late Pick-Up is 30min prior or after camp official hours. Campers will be supervised during this time but no official programming will take place.
11.2 Unscheduled Late Pick-Up: Parents/guardians are expected to pick up their child(ren) promptly at the scheduled time in the child’s registration. A late pick-up fee of $15.00 per day will be charged for unscheduled late pick-up. This fee is due at the time of pick-up or will be added to your account balance.

By completing the camp registration, the Client acknowledges and agrees to the terms and conditions set forth in this Agreement, as well as the general terms and conditions of VICI Learning.
